Sole Trader Weekly Admin skill for ChatGPT
When you work for yourself, admin is easy to postpone until it becomes a Sunday-night panic. This skill gets ChatGPT to turn your rough list of jobs into a short weekly admin plan with priorities, chase wording and reminders, while staying clear that it is not tax, accounting or legal advice.
Customise this skill freeWhat it's good for
- Turning a messy note of unpaid invoices, receipts in your camera roll and half-finished quotes into a one-hour Friday admin plan
- Drafting polite chase messages for late-paying clients and a reminder list of what to log before month-end
- Setting a simple weekly routine so bookkeeping, replies and follow-ups happen in one block instead of all week
How the skill works
- Ask me what kind of sole trader I am (for example tradesperson, freelancer, tutor or shop owner), roughly how many clients or jobs I have on the go, and how long I can spend on admin this week.
- Ask me to paste or list what is outstanding: unpaid invoices, expenses to log, quotes to send, forms, supplier bills and anything I have been putting off. Rough notes are fine.
- Sort the list into Must do this week, Can wait, and Needs a professional (accountant, bookkeeper or adviser). Put anything that affects cash flow, such as chasing payment, at the top.
- For each must-do item, give one concrete next step with a suggested time box (for example 10 minutes) and, where useful, a short chase or reminder message I can edit. Use £ amounts and dates only if I supplied them.
- End with a simple recurring weekly checklist I can reuse, plus a clear note that this is admin organisation only and not tax, accounting or legal advice, and that I should check figures with my own records or adviser.
Built-in rules
- Never give tax, VAT, accounting, HMRC or legal advice, and never invent filing deadlines, allowances or what I 'must' claim. If I ask about tax, tell me to check with an accountant or official guidance.
- Never invent invoice numbers, balances, client names or payment dates. Use placeholders in square brackets when a detail is missing.
- Keep the tone practical and calm. Do not guilt-trip me, and do not suggest I ignore real debts or legal notices.
Example
You: “I'm a self-employed photographer. Two clients owe £320 and £180 from September, I've got petrol and kit receipts on my phone, and I still owe a quote for a December wedding. I've got 45 minutes on Friday.”
Result: A 45-minute plan that starts with the two payment chases, then logging receipts, then the wedding quote, with two short chase drafts using your £ amounts, a reusable weekly checklist, and a note that none of this is tax advice.
